Maintenance messaging is hardest to approve during an outage. A prepared brief gives the delivery team truthful copy and a controlled way to publish it.

Define the operating states

Separate scheduled maintenance, partial disruption, unplanned outage, and recovery. For each state, name the affected tasks, start time and time zone, update owner, support route, and approved level of detail.

Keep essential access available

Do not hide legal, safety, or urgent contact information behind a decorative holding page. Decide which unaffected routes remain usable. Use suitable response behavior and retry guidance with technical and search owners.

Rehearse activation and removal

Test the notice at narrow widths, with keyboard navigation, and without its primary asset. Verify monitoring, caching, and the route used to disable it. The completion checklist must include removing stale banners and confirming normal tasks again.
